Why Stay at the Conference Hotels?

The conference hotels are the hub of conference activities. They are just a short distance from the presentations, they provide opportunities for networking with colleagues, and it’s easy to return to your room when you need to. But there are additional details you should be aware of before you consider booking at other hotels.

WBES makes every effort to keep registration fees low. One way this is done is by providing the conference hotels with a guarantee that a specific number of sleeping rooms will be occupied by our conference attendees. In exchange for filling the room block, each property provides WBES attendees with a competitive room rate and other discounts. If the conference does not meet its contracted sleeping room commitment, WBES must make up the difference. Unfilled rooms could cost WBES tens of thousands of dollars, which places future programs at great risk.

We know that, for many attendees, finding the lowest possible hotel rate is important, and we are aware that people sometimes choose lodging elsewhere. However, before you book your hotel room for this year’s event, please consider supporting both the conference and your organization by staying at one of the conference hotels.

MARRIOTT TACOMA DOWNTOWN

Rate

For a standard King or Double Queen, the discounted conference room rate is $189/night plus tax. Internet is complimentary for Marriott Bonvoy members (free enrollment).

Reservation Deadline

The deadline to reserve rooms at the conference rate is Tuesday, August 5, 2025. Rooms within the reserved conference block will be sold on a first-come, first-served basis. We cannot guarantee rooms at the conference rate once the room block has been sold; thus, participants are encouraged to reserve well in advance of the final cutoff.

How to Reserve

You may make your reservation by calling (253) 294-9200 and referencing the “Western Bridge Engineers’ Seminar” or online by clicking here. A credit card is required at the time of reservation but will not be charged at the time of reservation.

Booking your hotel room through the above methods is the only way that the Western Bridge Engineers’ Seminar will get credit for your booking. Reservations made through third-party websites (e.g., Expedia, Hotels.com, etc.) are not considered part of the group block and do not help offset the group’s room commitment.

Early Departure Fee

Please be advised that the Marriott Tacoma Downtown will charge an early departure fee equal to one night’s room and tax if a guest checks out prior to the confirmed checkout date on their reservation.

Parking

Overnight self-parking with unlimited in-and-out privileges is available to conference guests at the discounted rate of $16/night (one vehicle per room). To obtain this rate, one must book their guest room through the group reservation portal (see link above). This rate will automatically be applied to the room folio. An electric car charging station is available.

HOTEL MURANO

Rate

The rate for this hotel is based on the prevailing 2025 GSA per diem for Tacoma. The 2025 per diem rate for single occupancy in a room with a King bed or 2 Double beds, the discounted conference room rate is $136/night plus tax. An extra charge of $10 per night will apply for each additional person. Bed types are assigned at check-in based upon availability.

Cancellation & No-Show Policy

Cancellations must be received 48 hours prior to the guaranteed arrival time to avoid a cancellation fee of two night's room and tax. Failure to call or arrive before check-out time after the first night of a reservation will result in cancellation of the remainder of the reservation.

Parking

A 25% discount on overnight self-parking will be offered to hotel guests who book their guest room through the group reservation portal (see link above). As of Spring 2024, the prevailing parking rate before the discount was $26/day. Parking fees will automatically be applied to the room folio.

Early Arrivals / Extended Stays

Please note: The discounted room rates above only apply for the nights of September 2, 3, & 4. If you wish to arrive early or extend your stay after the conference concludes, it may be possible to receive the conference rate, but this is at each hotel's discretion and is based on availability. If this applies to you, please make your reservation to include only the nights above, then send your full name, confirmation number, and desired add-on date(s) to ProfEd@WSU.edu. We cannot guarantee that the hotel will offer the discount over the extra night(s), but we will communicate with the hotel on your behalf to explore whether this is possible.

Roommates

If you are sharing a room with another person, be sure that both names are added to the reservation. Be aware that if your name does not appear on the room reservation, you are not officially considered a guest of the hotel.

Be Aware of Scams!

Neither the hotels nor conference organizers have authorized any third-party agents to represent them in booking rooms for attendees. Booking a room using the above link is the only reservation method guaranteed by the hotel to result in an actual reservation. Please be aware that phone and email scams exist which target conference attendees, and scammers may even attempt to impersonate a representative of WBES, Washington State University, or the hotel. Please report such fraudulent activity to ProfEd@wsu.edu.
