What Does the Registration Fee Include?

The registration fee for presenters and full-conference attendees includes:

• Conference Admission
• Breakfast on September 3, 4, & 5
• Lunch on September 3 & 4
• Admission to the Icebreaker reception on Tuesday, September 2
• Admission to the Exhibitor's Reception on Wednesday, September 3
• Scheduled Refreshment Breaks
• (1) Copy of the Conference Program Booklet
• PDH Certificate
• On-Site Administrative Support

Those who register at the daily rate are entitled to enjoy the meals, breaks, and/or reception on that day only.

Lodging is not included in the fee. Attendees must make, and pay for, their own hotel.
 

Optional Add-On: Pre-Conference Tour Ticket

Tickets for participation in a pre-conference tour may be added during registration on a first-come, first-served basis for $20 each. Visit this page for complete information regarding pre-conference tours.

Special Event: Baseball Night

STUDENT SCHOLARSHIPS

The WBES planning committee believes that attending this conference can be of great value to students, as it can help them to gain technical knowledge and network with industry professionals.

Students – Are you a college student earning a bachelor’s or graduate degree in a civil engineering program? If you are in your final years of study, we encourage you to apply for a scholarship opportunity that will enable you to attend the conference at a greatly discounted rate. To apply, send an email to Rachel Ashton, WSDOT Bridge and Structures Office, at AshtonR@wsdot.wa.gov. Inquiry emails must be received no later than 12 noon PDT on Monday, June 30, 2025.

TRAVELING COMPANIONS

Traveling companions who cannot benefit professionally from attending the conference may purchase a pass for $200 which allows them to attend conference meals and receptions as a guest of a registered attendee. Admission to the presentation sessions is not included. A name badge will be provided for companions.

CANCELLATION & REFUND POLICY

 It is hoped that everyone who registers for the conference will be able to attend; however, WBES knows extenuating circumstances do occur that necessitate cancellation. The following cancellation policy applies:

• All cancellations and requests for refunds or substitutions must be received in writing to conference management via email at wbes@wsu.edu.  
• As a courtesy to conference organizers, registrants should communicate with conference management as soon as the need for cancellation is known. Please do not contact the WBES planning committee regarding refund requests.
• If a personnel substitution must be made, please communicate with conference management via email at wbes@wsu.edu. Substitutions may be made without a fee until 12 noon PDT on Tuesday, July 1, 2025. Substitutions made between 12:01 pm PDT on Tuesday, July 1, 2025, and 12 noon PDT on Tuesday, August 12, 2025, will incur a $50 substitution fee. No substitutions may be made after 12:01 pm PDT on Tuesday, August 12, 2025.
• Cancellations received before 12 noon PDT on Tuesday, August 12, 2025, are eligible to receive a full refund, less a $150 cancellation fee. Refunds will be returned via the original payment method. No refunds will be offered after 12 noon PDT on Tuesday, August 12, 2025, unless in accordance with the Emergency Circumstances provision below.
• Conference registration fees will not be refunded for weather or travel-related delays or cancellations. Leaving the conference early, for any reason whatsoever, will not result in a refund, and no refunds will be made for any unused portions of the event. Likewise, refunds will not be granted for no-shows. 
• Emergency Circumstances – Registrant is eligible to receive a full refund of all registration fees paid under the following circumstances:
  a) Registrant is unable to attend the conference due to the death of an immediate family member or significant other (domestic partner or spouse).
  b) Serious illness/debilitating health condition of Registrant, a direct family member, or significant other which necessarily restricts travel and full conference
      participation by the Registrant.
  c) The conference is cancelled.
  d) Registrant is unable to travel due to a lockdown enforced by Registrant’s country of residence or travel restrictions imposed by Registrant’s institution,
      company, or organization due to a global pandemic.
  e) Registrant is unable to travel due to Visa restrictions related to a global pandemic.
  f) Other extraordinary circumstance (e.g., the death of a service animal on which a disabled Registrant's attendance is predicated).

All refund requests due to emergency circumstances must be received prior to the last day of the conference. Lack of travel funding is not considered a valid emergency circumstance.
